Marathon Community Theatre,
Minutes of the Board of Directors
The meeting was called to order by President Rita Irwin at
Present were Treasurer, Gail Burnett, Board members: Dona Beckman, Suzanne Craig, Ron Ferguson, Christine Leird and Ginger Michael and Manager, Loretta Geotis.
The Agenda was approved as presented.
The Minutes of the September meeting were approved. Moved by Ron, seconded by Christine.
Staff Report: Manager Loretta Geotis presented her report as follows: Board action on various issues are underlined.
a) I have a possible candidate for the second
box office person, Virginia Kreig. I have arranged for her to come in and spend
some time on the computer program before I give her a definite commitment.
b) B rochures are mailed and received.
c) Brochures scheduled to go into Marine Bank
statements in early December.
d) Need to distribute posters for OWO and the
Christmas concert.
e) We have sold approximately 70 tickets so far
for OWO ONO.
f)
A total
of 244 people/members used the theater space during September.
a) Advertising has been scheduled and will
start this week for One Night Only formerly known as One Weekend Only.
b) Advertising has been adjusted and is now
running.
c) The Marathon
Free Press did a wonderful feature story about OWO with pictures etc. and a
lot of general information about the theatre.
The story was to appear this past Wednesday, but was bumped for
hurricane news. I have contacted the
Free Press to revive the story this week.
The reporter was two weeks on the job and has since “left the building”
never to be heard from again. I will
deal with Robin Boyle, the editor.
d) Ginger and Laura will be doing a radio
interview with Josh
Mothner on
Monday, October 31, on 94.3 at
e) The Keynoter donated one ad in L’Attitudes for One Weekend Only/One Night Only, value
$162.00.
f)
The
playbill is at Gemini and is a work in progress.
g) I suggest putting the membership form in a
page as a part of the playbill with a short paragraph about how to join the
theatre.
h) I would like to make the contribution page a
part of the insert for each show so it can be updated as we go throughout the
season rather than just one time per year.
i)
Are
there any memorials that should be included in the new playbill? Bill Plank?
j)
We need
help in distributing OWO and Christmas concert posters.

cINEMA
a) Bobby has requested some theatre tickets to
use as giveaways for door prizes for the 10-year anniversary of the
cinema. The date is November 17. (Two
sets of two tickets for Social Security)

Other
stuff
a) Plans
for OWO ONO are underway. We could still use a champagne sponsor. Champagne cost is approximately $48 per case. Breaking news!!! I
just spoke with Wanda and she has a champagne sponsor for 6 cases of
champagne. George Shattuck of Watersports at Hawk’s Cay.
Way to go, Wanda!
b)
I will follow-up with volunteers and shift everyone
possible to Saturday.
c)
I will handle the calls to ticket holders for OWO
and the refund policy.
d)
Storm damage is as follows:
1) Solar Shield material completely blown off
the roof.
2) A/C unit that cools the producer’s room is
flipped over and damaged.
3) Ceiling tiles came down in the cinema and at
the top of the stairs on the way to the business office. Approximately six ceiling tiles are wet
and ruined in the rehearsal room.
4) Floor/carpet in the box office was wet and
smelly.
5) Water came into the producer’s room between
the buildings, but the dance floor was not hurt.
6) The fence around the sewer was blown
down. Paul and Bobby repaired it.
7) The facia on the
front of the building came down.
8) One of the large spotlights came down from
the front of the building.
e)
Paul and I have taken pictures of the damage. We will make a written report for the board
and the insurance companies etc.
f)
Paul has cleaned up the debris from the storm,
patched some holes in the roof, cleaned up inside all places where ceiling
tiles fell in and water came in.
g)
I have filed a claim with FEMA (though I think it’s
for statistical purposes only).
h)
I have filed a claim with Citizen’s Insurance
regarding the roof and air conditioning unit and any other damage.
i)
I have spoken with Solar Shield. Someone is to call. If they don’t, I’ll call them.
j)
Chair discussion – Ann Hart – Need to decide if we
plan to use them in the producer’s room so we will have a place to put
them…. details to come…
k)
Money was delivered to Alisha at Crane Point
Hammock for Tony and Tina’s Wedding. We
have room for one more at the table of 10.
(This event has been postponed.)
l)
Suzanne Craig and a friend of hers have some
mirrors they want to donate for the producer’s room / dance rehearsals.
m)
Christine is looking for interested parties to
attend a play on the mainland this winter…..
n)
We discussed sending a reminder to former
contributors. If that is appropriate, I
will be happy to do that. Let me know if
there is anyone who should NOT be contacted.
o)
I had a call from a person who had purchased six
tickets for OWO inquiring about what would happen if the theatre were
uninhabitable after the storm… would she get her money back? Do we have a policy in place?
Committee
Reports:
Finance: Gail Burnett presented financial results for
September, 2005. Bobby Coffee has made a
request to increase his employees by $1.00 per hour per level for all three
levels. (Minimum wage increases
The Finance Committee approved
the cost of approximately $3400 to refurbish the projector in the cinema. Moved by Ginger, seconded by Suzanne C.
June Hebling
of Marine Bank has offered to delay our monthly payment to assist in offsetting
the costs incurred from Hurricane Wilma.
VP
of Production: Ann Hart was not present;
however, there was discussion regarding the possibility of bringing The Keys
Old-Time Radio Show back for a summer show/fundraiser since the hurricane
disrupted the OWO plans.
Ann Hart will donate $500 for a
seat in the theatre and specify the money to be used to buy eight chairs for
Building: Discussion of hurricane damage… roof
replacement, facia from building, spotlight, water
damage, ceiling tiles, cleanup, air conditioning unit for producer’s room. Follow-up to be done with FEMA, insurance
company, blue tarps, etc. Will check
into different options for roof replacement.
Suzanne Craig has four large
mirrors she will donate to the producer’s room for dance rehearsals. Need to get measurements and decide on
installation process.
It was decided to put tables and
chairs around the edge of the new dance floor in the producers room for
concessions. Moved by Christine and
seconded by Ron.
